Office Manager

Full-time exempt position

Reports to:          Human Resources Manager (Executive Director if/as needed)

Salary:                    $16.50 - $17.50 ($1320 - $1400 bi-weekly)

Hours:                   40 hours per week, schedule TBD

Benefits:                Vacation accrual of 2 weeks per year for the first 2 years, sick pay of 12 days per year, health benefits and dental benefits after three months, 401(k) plan available.

Position Summary

The Office Manager assists in ensuring that the day-to-day operations of the agency run smoothly and meet company policy as well as local, state and federal requirements. The primary functions of this role fall under three categories as outlined below, however, other duties may be assigned by management as needed.

Primary Responsibilities

Administration & Accounting

• Process Accounts Payable on a bi-weekly basis; this includes processing invoices and check requests, ensuring that company and audit policies are met, funding codes are correct and payments are timely
• Monitor Accounts Payable, including unexpected changes in rates or unexpected invoices, and notifying the appropriate manager or the controller
• Maintain Accounts Payable vendor files; this includes providing regular file maintenance as well as regularly updating electronic vendor list on agency server
• Make online deposits
• Purchase & load postage meter as needed
• Monitor office supplies, take inventory and place orders as needed
• Coordinate stationery orders for the agency as well other printing orders
• Coordinate with IT contractor for IT support and agency website updates as needed
• Assist with annual audit preparation

Development

• Track and process all individual donor donations, as well as unrelated donations and online donations, send letter of acknowledgement and make necessary adjustments to donor list
• Maintain donor software program (GiftWorks) as well as hardcopy of donor files
• Maintain mailing lists for e-newsletter and newsletter
• Provide grant application attachments as needed and monitor electronic server files of regular grant attachments (audit, 990, 501(c)(3 ) letter, etc.)

Facilities Liaison

• Responsible for collecting and distributing keys as well as garage door openers
• Janitorial/maintenance contractor liaison
• Provide support to staff for building related issues and relays issues to appropriate staff, contractor or vendor
• Facilitate and update safety plans for agency, including posting Emergency Preparedness Procedures
• Coordinate facilities rentals

Qualifications

QuickBooks knowledge required

Bilingual Spanish/English strongly preferred

Experience processing Accounts Receivable/Accounts Payable

General bookkeeping skills

Ability to track, perform, multiple tasks and projects with varying time sensitive deadlines

Strong organizational skills

Experience working in a non-profit preferred

Proficient with Microsoft Office: Word, Excel

Knowledge of GiftWorks a plus

Excellent verbal and written communication skills

Self-starter able to work independently or with a team as needed

Respectful, welcoming, self-motivated, punctual, flexible, sensitive to immigrant issues, problem solving
